Short answer: B2B prospecting is the work of finding businesses and people who could buy from you and starting a first conversation with them. It is the front end of selling: building a target list, finding the right contact, and reaching out. You can do it in house, hire it out, or split it, and the right choice depends on how much time your team has and how well you already know your market.
- Best done in house: when you sell a complex, high-value deal to a small set of named accounts.
- Best outsourced: when you need steady outreach to a larger list and your sellers should spend their time on calls, not research.
What is B2B prospecting?
Prospecting is everything that happens before a real sales conversation. You decide who fits, you find them, you learn enough to say something relevant, and you reach out. A prospect is not yet a lead in the strict sense. It is a company or person that matches your target but has not shown interest.
People often mix this up with lead generation. Prospecting is you going out to find buyers. Lead generation, in the broader sense, also includes attracting people who come to you. If you want the full comparison, read our guide to inbound vs outbound lead generation.
What are the main B2B prospecting methods?
There are only a handful of ways to start a conversation with a stranger who runs a business. Each has a different cost, speed and fit.
| Method | How it works | Main tradeoff |
|---|---|---|
| Cold email | Send a short, relevant message to a chosen list | Scales well, needs good data and sending setup |
| Cold calling | A person phones decision makers | Direct, but slow per contact and hard on staff |
| LinkedIn outreach | Connection requests and messages | Good for senior people, limited by daily caps |
| Referrals and partners | Warm introductions from people who trust you | Best quality, hard to make predictable |
| Events and trade shows | Face to face meetings | Expensive, and only reaches who shows up |
Most teams that do this well use two or three methods together. If you want a closer look at the email side, start with what cold email is and how it differs from bulk marketing email.
What does a good prospecting process look like?
1. Define who you are looking for
Write down the industry, company size, location and the job titles that buy. The tighter this is, the better every later step works. Our page on the ideal customer profile walks through how to do it.
2. Build the list
A list is a set of companies and named contacts with working email addresses. Building one by hand is slow. Buying one is risky, because old or scraped data bounces and hurts your sending reputation. We cover the options in how to build a B2B lead list.
3. Find the right person
The owner, the head of the department, or the person who feels the problem. Sending to the wrong role wastes the whole effort. See how to find decision makers for practical ways to do it.
4. Reach out and follow up
Most replies come from the second or third touch, not the first. A short sequence of messages beats one long email. Keep each one about a single point.
5. Hand off and track
When someone replies with interest, a salesperson takes over fast. Track how many contacts you reached, how many replied, and how many became meetings. Without those three numbers you cannot tell what to fix.
Who should do the prospecting?
This is the real question for most owners. Here are the options in plain terms.
Your own salespeople
Good for large deals and a short target list. The cost is time. Every hour a closer spends researching accounts is an hour not spent in front of buyers. Many teams find that prospecting is the first thing that gets dropped when the calendar fills up.
A dedicated SDR
A sales development rep does nothing but prospecting and booking meetings. You get focus, but you also take on salary, tools, training and management. Our SDR cost calculator shows what a full in house hire really costs once you add it all up.
An outside provider
A provider handles the list, the messages and the sending, and you pay a monthly fee. You give up some control and you depend on their quality. You gain speed and a fixed cost. Read are lead generation companies worth it before you decide.

When is outsourcing prospecting a bad idea?
Be honest with yourself here. Outsourcing is a poor fit in a few cases:
- You sell to consumers. Cold email as a B2B service does not apply.
- Your market is tiny, perhaps a few dozen possible buyers. Personal outreach from a senior person will beat any campaign.
- Your offer is not clear yet. A provider cannot fix a weak pitch, and you will burn through your list learning that.
- You have no one to answer replies quickly. Interest cools fast.
It can also be the wrong time if your product has no proof behind it. Buyers will ask who else uses you. Have an answer first.
How do you judge a prospecting provider?
Ask a few direct questions:
- Who builds the list, and can I approve it before anything is sent?
- Do you send from separate domains so my main domain is protected?
- Who writes the emails, and do I see them first?
- What happens to replies, and how fast do I see them?
- What is the contract length, and what is included in the monthly price?
- Can you show real examples without hiding behind vague claims?
Be wary of anyone who promises a fixed number of meetings with no knowledge of your market. Nobody can promise that honestly. Our pricing overview in cold email agency pricing explains what is normal to pay.
