Next Reply is a cold email and outbound lead generation service based in Vancouver, Washington. This policy explains what information we collect through nextreplygroup.com and our free tools, what we collect when we run campaigns for clients, how we use it, and the choices you have. Questions go to hello@nextreplygroup.com.
Information you give us
- Contact form. Your name, work email, company website, the description of who you want to reach, and the plan you’re interested in.
- MX checker. If you choose to leave your email after a check, we keep that email along with how many domains you checked and how they split between email providers.
- Email and calls. Anything you send us directly.
Information collected automatically
- Form submissions are stored with the IP address and browser information (user agent) they came from, so we can spot spam and abuse.
- Analytics. We use Google Analytics to understand how people find and use the site, such as pages visited and general location. It sets cookies (named
_ga). You can block them in your browser or use Google’s opt-out add-on. - Bot protection. Our forms and the MX checker use Cloudflare Turnstile to tell people from bots. Turnstile checks signals from your browser and may set data needed for that check.
- Visit logging. Our own server-side visitor log records each page view with the time, the page, and the visiting network’s IP address, which we use to work out which company (not which person) a visit came from. This is first-party logging and sets no cookies. If you arrived from a link in an email we sent on a client’s behalf, that link may carry a reference code that lets us connect the visit to that email, as described below.
Domains you check with the MX checker
Domains you paste into the MX checker are looked up through public DNS. Results for each domain are cached for about a day so repeat checks are fast, but we don’t save the list you submitted or link it to you. SPF, DKIM and DMARC checks for a single domain run in your browser.
How we use information
- To reply to you and discuss a possible campaign.
- To provide and improve our services and the site.
- To protect the site and our tools from spam and abuse.
- To meet legal obligations.
We don’t sell your information, and we don’t add people who contact us to a newsletter or marketing list.
Service providers
We use a small set of providers to run the site and our tools. They process information only to provide their service to us:
- Flywheel hosts the website.
- Cloudflare runs the MX checker, form processing and our visitor log, stores form submissions, and provides Turnstile.
- Neon hosts the database where campaign contact records, suppression lists and company signals are stored.
- Resend delivers notification emails to us when a form is submitted.
- Twilio may deliver text notifications to us when a form is submitted.
- Google provides Analytics, Google Workspace email, the site’s fonts, and the public DNS lookups the MX checker uses.
If we contacted you on behalf of a client
We run business-to-business email campaigns for our clients. If you received one of those emails, your business contact information (such as your name, job title, company and work email) came from business data providers, company websites or other public business sources, selected because your role matched the client’s target market. We use it only to send that client’s outreach and to handle replies.
We also watch for public signs that a company may be a good fit for a client, such as job postings on its careers page and changes to its public domain records (for example, a new email or CRM provider showing up in DNS). This is company-level information from public sources; we don’t use it to profile individuals.
Links in campaign emails may include a reference code. If you click one, we can see that someone from that email visited our site and which pages they viewed, and we use that to decide whether a follow-up is worth sending. We don’t add reference codes for recipients in the European Union, the United Kingdom, Iceland, Liechtenstein, Norway or Switzerland, so visits from those links are logged at the company level only. You can remove the code from the link before opening it and the page works the same.
Every campaign email includes a way to opt out. You can also email hello@nextreplygroup.com and ask us to stop contacting you or to delete your information. We’ll add you to a suppression list so you aren’t contacted again in campaigns we run.
How long we keep information
We keep inquiries and leads for as long as they’re useful for the conversation they started, and delete them on request. Suppression records (people who asked not to be contacted) are kept so we can keep honoring the request.
Your choices and rights
You can ask us what information we hold about you, ask us to correct or delete it, or ask us to stop contacting you. Email hello@nextreplygroup.com and we’ll respond within 30 days. Depending on where you live, you may have additional rights under local privacy laws, and we’ll honor those requests too.
Security
Information is sent over encrypted connections and stored with providers that secure their systems. No system is perfectly secure, but we limit what we collect and who can access it.
Children
Our services are for businesses. We don’t knowingly collect information from anyone under 16.
Changes to this policy
If we change this policy, we’ll update the effective date at the top of this page.
